Administration Assistant | Christchurch Health Campus

- Permanent full time position working 40 hours per week Monday to Friday 8am to 4.30pm

About the Role
The Administrative Assistant is responsible for providing high-quality administrative support to ensure the smooth operation of our Oncology Outpatients service. This role is key to delivering a positive experience for patients, their whānau, and clinical staff.
As part of the Administration and Clerical Pay Equity Claim settlement this role has been mapped to National Band 3/Profile 3C

Key Responsibilities
- Provide reception cover, ensuring a warm, professional, and efficient service
- Greet patients and their whānau in a courteous and supportive manner
- Always maintain patient confidentiality and privacy
- Update patient demographic data accurately in the patient management system
- Answer telephone inquiries, take messages, and direct clinical calls appropriately
- Identify and refer unwell or infirm patients to nursing staff promptly
- Maintain a clean and welcoming waiting room environment
- Complete administrative tasks as requested by the Team Leader
- Support the overall service provision as workload demands
- Carry out additional duties in a competent and efficient manner
About you
Skills and Experience
Essential:
- Strong customer service skills with a people-focused approach
- Confident using data systems and quick to learn new applications
- Excellent organizational, time management, and problem-solving abilities
- High level of accuracy and attention to detail
- Ability to work independently and meet deadlines
- Strong communication skills, both written and verbal
- Intermediate proficiency in Microsoft Word, Outlook, and Excel
- Fast and accurate keyboard skills
- Proactive and perceptive approach to administrative tasks
Desired:
- Broad administrative experience in a health-related field
- Awareness and understanding of different cultural backgrounds
- Knowledge of medical terminology
- Familiarity with the public hospital system, including patient management systems
