Administration Supervisor | Christchurch Hospital

Are you an experienced administrator who enjoys supporting a team, improving processes and making sure things run smoothly?
We are looking for an Administration Supervisor to join the General Surgery team. This is an excellent opportunity for someone who has strong administration experience, enjoys working in a busy healthcare environment and is ready to take the next step in their leadership journey.
As the Administration Supervisor, you will provide day-to-day supervision, guidance and technical support to the administration team, helping ensure patients and clinical teams receive an efficient, effective and high-quality service.
You will be a key source of knowledge across administrative processes, systems, National Planned Care guidelines and service requirements. Working closely with the Administrative Team Leader, you will help monitor patient flow, support the team to achieve key deliverables, resolve issues and contribute to ongoing service improvement.
This is a hands-on role where you will make a real difference to how the service operates. When required, you will also have the confidence and capability to step up and provide leadership in the absence of the Team Leader.
About the role
Your responsibilities will include:
Supporting patient flow
- Supervise the delivery of high-quality administrative support to clinical teams and patients.
- Help ensure work is distributed effectively across the administration team and key service deliverables are achieved.
- Monitor workflow and identify opportunities to improve efficiency and patient flow.
- Support the team to respond effectively to changing service requirements.
Supporting the Team Leader
- Work alongside the Administrative Team Leader to create and maintain a positive, inclusive and patient-focused workplace culture.
- Help ensure service expectations are aligned with available resources and appropriate service cover is maintained.
- Provide support with problem-solving, workflow management and day-to-day operational issues.
- Step up to provide leadership when required, including during periods of Team Leader absence.
Planned Care and quality
- Support the team to ensure administrative processes and documentation align with National Planned Care requirements and standards.
- Monitor administrative practices to ensure data quality, system requirements and confidentiality standards are maintained.
- Provide guidance to team members on relevant processes, systems and procedures.
Team leadership and development
- Coach and support team members to achieve their best and develop their skills.
- Assist with training and implementation of new processes, systems and ways of working.
- Encourage a culture of continuous improvement and shared accountability.
- Communicate changes clearly and support the team to adopt new ideas and improvements.
Service leadership
- Act as a key point of contact for day-to-day operational queries and issues.
- Support the management of staff concerns, complaints and incidents, escalating to the appropriate people when required.
- Work with Service and Clinical Leads to understand priorities, expected outcomes and timeframes.
- Build effective relationships with clinical, administrative and wider service teams to support positive outcomes.
Continuous improvement
- Contribute to projects, service improvements and change management initiatives.
- Identify opportunities to improve administrative processes, patient flow and service delivery.
- Support a culture of innovation, accountability and continuous learning.
- Undertake other duties as required and agreed with your manager.
About you
We are looking for someone who is organised, confident and solutions-focused, with the ability to work effectively in a busy and changing environment.
You will bring:
- A strong customer and patient focus with an empathetic and professional approach.
- Demonstrated experience working with high-volume data management systems within a complex organisation.
- Intermediate-level skills across Microsoft Office, including Outlook.
- Experience contributing to, leading or being an early adopter of significant improvement initiatives.
- Strong communication and interpersonal skills, with the ability to build positive relationships across a range of teams and stakeholders.
- The ability to coach, support and motivate others while maintaining a strong focus on service delivery.
- A proactive approach to identifying problems and finding practical solutions.
- The confidence to take responsibility and provide leadership when required.
It would be an advantage if you have:
- Previous experience supervising or coordinating a small to medium-sized team.
- Experience using SIPICS (South Island Patient Information Care System).
- Knowledge of Health NZ Planned Care processes and/or Elective Services Guidelines.
- Previous experience working in an administrative role within a tertiary hospital or other complex healthcare environment.
