Administration Team Leader | Ashburton

Our Team Accountability
The Rural Health Division delivers care across eight dispersed campus sites, providing a wide range of community-based and hospital services. These include acute and inpatient care, community allied health and nursing services, outpatient clinics, faster cancer treatment, planned care and day surgery, remote and integrated rural health services, aged residential care, and dementia-level care.
About the Role
The Administration Team Leader is responsible for ensuring administrative services effectively support clinical teams and enable efficient patient flow across the Cluster/Service. This is a senior leadership role that balances operational delivery, people leadership, and continuous improvement.
Key Responsibilities
1. Leadership & Team Management
You will be successful when:
- Administration staff are supported, trained, and effective in their roles
- Service continuity is maintained during planned and unplanned leave
- Clear protocols and standards for all administration functions are developed and embedded
- Performance and development objectives are set and reviewed annually
- Administration outputs are monitored against agreed KPIs (including waitlists, DNA rates, transcription turnaround times, and data integrity)
2. Patient Flow Management
- Coordinate smooth patient flow across all service modalities
- Maintain integration of administration services across teams and sites
3. Clinical Support
- Ensure clinical meetings are prepared in advance where required
- Engage with SMOs, Allied Health, and Nursing leadership to align service expectations with available resources
About You
You are an experienced people leader with a strong operational focus and a passion for patient-centred service delivery. You thrive in complex environments and are confident leading large, dispersed teams.
Essential:
- Minimum of 5 years’ experience in supervising and/or managing a large team
- Proven success leading an administration team
- Experience with data management and information systems
- Strong knowledge of administrative procedures and tools (Word, spreadsheets, reporting systems)
- High level of diplomacy, interpersonal skill, and ability to influence and negotiate
- Demonstrated success delivering improvement initiatives
- Strong customer and patient focus
Desirable:
- Experience in the health sector
- Experience working in a large, complex organisation
- Qualification in people management, business, or information/process management
