About the role

We are seeking a dedicated and skilled Adult Rehabilitation Service Administration Team Leader (1 FTE) to oversee the administrative functions that ensure smooth patient flow and effective support across our Adult Rehab Services at Burwood Hospital.  The Adult Rehabilitation service consists of the Burwood Spinal Unit (BSU) and Burwood Adult Rehabilitation Unit (BARU).  The Spinal Unit provides specialised spinal services across a catchment from New Plymouth to Hastings and South – it provides inpatient rehabilitation, outpatient and reassessment services (both locally and peripherally in other centres) and arranged admissions within the unit.  The Burwood Adult Rehabilitation Unit provides inpatient neuro and general rehabilitation services and general and concussion outpatient services for under 65 year olds.  Both services are closely linked to the acute services at Christchurch Hospital site.   

This role plays a critical part in the integration of patient services, optimizing waitlist management, and maintaining a high standard of quality and compliance with Ministry of Health (MOH) guidelines and ACC contractual requirements.

Key Responsibilities

  • Administration Integration: Oversee the cohesive operation of administrative tasks across the service, from booking to transcription.
  • Quality Control: Conduct regular audits (e.g., DNA audits) to improve patient experience and maintain compliance.
  • Team Leadership: Lead the administration team, manage workloads, and foster a high-performance culture. Implement and review team protocols, standards, and performance metrics.
  • System Improvements: Enhance processes to support data integrity, streamline workflows, and improve service delivery.
  • Operational Support: Provide administrative input into planning and reporting, supporting efficient use of resources and alignment with best practices.
  • Patient Flow Coordination: Ensure efficient patient flow through the Spinal and BARU Services, identify constraints, and collaborate with the leadership team to address any bottlenecks.
  • Project Participation: Contribute to various projects, ensuring timely, quality, and cost-effective service delivery.
  • Resource Management: Maintain stock levels, oversee equipment maintenance, and ensure adherence to purchasing policies.
  • Health & Safety Compliance: Maintain a safe work environment, ensuring compliance with all policies and undertaking audits as required.

About you

Skills and experience Essential:

  • Supervisory/management experience leading/supporting an administrative team.
  • Demonstrated success in customer-focused leadership and service improvement initiatives and a desire for innovation.
  • Experience with data management and information systems, with proficiency in administrative tools (e.g., word processing and spreadsheets).
  • Strong interpersonal skills with the ability to handle sensitive issues diplomatically.

Desirable:

  • Experience in the healthcare sector or a large organization.
  • Qualification in people management or business/information processes.

  • Strong organizational and problem-solving skills.
  • Excellent communication skills with a focus on patient-centered service.
  • Ability to prioritize tasks and manage multiple projects effectively.
  • Familiarity with health policies, quality assurance, and continuous improvement initiatives
