Administration Team Leader - Cardiology

We are seeking a dedicated and skilled Cardiology Administration Team Leader to oversee the administrative functions that ensure smooth patient flow and effective support across our Cardiology Service. This role plays a critical part in the integration of patient services, optimizing waitlist management, and maintaining a high standard of quality and compliance with Ministry of Health (MOH) guidelines.

Key Responsibilities

  • Patient Flow Coordination: Ensure efficient patient flow through the Cardiology Service, identify constraints, and collaborate with the leadership team to address any bottlenecks.
  • Administration Integration: Oversee the cohesive operation of administrative tasks across the service, from booking to transcription.
  • Quality Control: Conduct regular audits (e.g., DNA audits) to improve patient experience and maintain compliance.
  • Team Leadership: Lead the administration team, manage workloads, and foster a high-performance culture. Implement and review team protocols, standards, and performance metrics.
  • System Improvements: Enhance processes to support data integrity, streamline workflows, and improve service delivery.
  • Operational Support: Provide administrative input into planning and reporting, supporting efficient use of resources and alignment with best practices.
  • Project Participation: Contribute to various projects, ensuring timely, quality, and cost-effective service delivery.
  • Resource Management: Maintain stock levels, oversee equipment maintenance, and ensure adherence to purchasing policies.
  • Health & Safety Compliance: Maintain a safe work environment, ensuring compliance with all policies and undertaking audits as required.

  • Minimum 5 years of supervisory/management experience leading a large administrative team.
  • Demonstrated success in customer-focused leadership and improvement initiatives.
  • Experience with data management and information systems, with proficiency in administrative tools (e.g., word processing and spreadsheets).
  • Strong interpersonal skills with the ability to handle sensitive issues diplomatically.

Desirable:

  • Experience in the healthcare sector or a large organization.
  • Qualification in people management or business/information processes.

Key Competencies

  • Strong organizational and problem-solving skills.
  • Excellent communication skills with a focus on patient-centered service.
  • Ability to prioritize tasks and manage multiple projects effectively.
  • Familiarity with health policies, quality assurance, and continuous improvement initiatives.
