We are looking for an experienced Administration Team Leader to join our team and provide day-to-day leadership, guidance and technical expertise to our administrative team. This is a hands-on role where you will work alongside the team while helping ensure services are delivered efficiently, consistently and to a high standard.
About the role
As Administration Team Leader, you will:
- Provide day-to-day leadership, guidance and technical support to the administrative team.
- Promote a positive team culture where the patient is at the centre of everything we do.
- Support clinical teams and patient flow by ensuring a continuous, high-quality administrative service.
- Work with team members to ensure workloads are distributed fairly and effectively.
- Build strong working relationships with clinical teams and ensure service expectations are aligned with available resources.
- Ensure administrative processes, procedures and documentation are current, complete and aligned with quality requirements.
- Monitor activity, processes and systems to maintain a high level of data accuracy and integrity.
- Support staff through orientation, training, coaching and ongoing development.
- Monitor key performance areas and identify opportunities to improve the quality, efficiency and patient experience.
- Respond to patient and staff concerns and complaints in a timely, respectful and people-focused manner, identifying root causes and opportunities to prevent recurrence.
- Contribute to projects and improvement initiatives that support timely, quality and cost-effective service delivery.
- Maintain your own portfolio of administrative responsibilities alongside your team leadership duties.
About you
You will be an experienced administrator and confident people leader who enjoys working in a busy healthcare environment. You will bring a strong customer and patient focus, excellent communication skills and the ability to remain calm and diplomatic when dealing with sensitive or challenging situations.
You will also have:
- At least two years' supervisory experience leading a small to medium-sized team.
- Proven success in an administration role.
- A strong customer and patient focus.
- Intermediate skills in Microsoft Outlook, Word and Excel.
- Expert-level knowledge and experience using SI PICS (South Island Patient Information Care System).
- Knowledge and understanding of Health NZ Planned Care / Elective Services guidelines and their practical application.
- Experience working with data management and information systems.
- Exceptional interpersonal and diplomacy skills, with the ability to manage sensitive issues and negotiate and influence where required.
- A demonstrated track record of leading or contributing to service improvement initiatives.
It would be an advantage if you have:
- Experience working within a tertiary hospital environment.
- A qualification in people management, business, information management or a related field.
