Administration Team Leader


 

  • Christchurch - Christchurch Health Campus - General Surgery
  • Fixed Term role to February 2027 working 40 hours per week
  • Experienced team leader required with in-depth knowledge of SIPICS

We are inviting expressions of interest from experienced leaders keen to step into this fixed term role leading our General Surgery administration team based on the Christchurch Hospital Campus.

About the role

The General Surgery health specialty carries out a wide range of activities which support the Christchurch Hospital Campus and wider Canterbury l Waitaha region, and this includes:

  • Overseeing and coordinating smooth patient flow through the Services
  • Maintaining consistent administrative processes across the services
  • Identifying areas of constraint to patient flow and working with the service leadership team to implement solutions
  • Monitoring all bookings and transcription throughput to keep within service and HNZ National guidelines
  • Monitoring waitlists, reporting, and acting upon in line with service requirements
  • Regular Missed Appointment audits are undertaken and acted on accordingly
  • Coordinating Outsourced work by following established processes
  • Oversight of loading referrals, triaging outcomes and waitlist management to ensure efficiency of administrative team

About you

To be successful in this role it is essential you will have:

  • Proven experience leading and motivating teams in a busy environment
  • Ability to enhance people performance and bring out the best in people to deliver high quality results
  • A strong customer service mindset that connects with our patients
  • Effective and strong communication skills
  • Excellent organisational and prioritisation abilities
  • In-depth knowledge and user of SIPICS and HCS
  • Ability to handle sensitive issues with diplomacy and maintain confidentiality
  • Proficiency in Microsoft Office (Word, Excel, Outlook, Teams)
  • Calm under pressure, with a proactive and responsible approach.
