About the Role

The Administrator plays a vital role in supporting patient access to healthcare services by coordinating bookings in line with Health New Zealand and Ministry of Health (MoH) guidelines. This position directly contributes to achieving health targets and ensuring patients receive timely, appropriate care.

Working under the guidance of the Administration Team Leader you will be responsible supporting patient and visitors access to the facility, clinic flow, and ensuring booking processes are accurate, compliant, and patient-centred.

Casual position information

Availability and reliability are a core requirement for these roles. These positions are casual, i.e. we cannot confirm full time work, however on average we are looking are looking for cover for up to 3 x 8-hour shifts per week.  This includes a mix of Front of House/reception shifts that commence at 8.00 to 4.30 pm, and shift coverage between Front of House and the Acute Assessment Unit (AAU) between 8.00am and 10.00pm.  These shifts are covered seven days per week/365 days per year.  As a casual staff member, you may be asked to work weekends and public holidays

As part of the Administration and Clerical Pay Equity Claim settlement this role has been mapped to National Band 3/Profile 3 Step 1 to 3 (final placement step is dependent on skills, knowledge and experience)

Key Responsibilities

Front of House & Patient Support

  • Provide a welcoming, professional front-of-house service for patients and visitors
  • Check and update patient demographics in the Patient Management System (SI PICS)
  • Identify unwell or infirm patients and refer promptly to nursing staff
  • Communicate booking information clearly and compassionately to patients

Patient Management System & Data Accuracy

  • Ensure all data entry is timely, accurate, complete, and auditable
  • Seek clinical direction for booking queries or re-categorisation requests
  • Manage pre-booking requirements such as diagnostic timing and preparation instructions

You will bring:

  • Excellent customer service and communication skills
  • Strong technical ability and confidence learning new systems

  • Excellent organisational, time management, and problem-solving skills
  • Ability to work independently and meet deadlines
  • Intermediate to advanced skills in Microsoft Word, Outlook, and Excel
  • Strong keyboard skills (50–70 wpm)
  • A proactive, team-focused approach

Desirable:

  • Administrative experience in a health environment
  • Knowledge of medical terminology
  • Familiarity with public hospital systems and SI PICS
  • Awareness of working with people from diverse cultural backgrounds
