We are looking for an experienced Administrator – Front of House to join our team, providing efficient, accurate and patient-centred administrative support across Front of House and the Acute Assessment Unit (AAU).
This is a busy and varied role where you will play an important part in supporting timely patient access, effective patient flow and the safe delivery of acute assessment services. Your administrative expertise will help our clinical teams focus on what matters most – providing quality care to our patients.
As part of the Administration and Clerical Pay Equity Claim settlement this role has been mapped to National Band 3/Profile 3

About the role
As an Administrator – Front of House, you will be responsible for supporting the smooth day-to-day operation of Front of House and the AAU.
You will:
- Support timely, safe and efficient patient flow between Front of House, the AAU and the wider hospital.
- Welcome and assist patients, whānau and visitors, providing a professional, respectful and patient-focused service.
- Complete patient registrations, admissions, discharges and referrals accurately and within required timeframes.
- Respond promptly to patients, whānau, visitors and clinical requests while managing competing priorities.
- Recognise when patients appear acutely unwell or infirm and promptly refer them to the appropriate clinical staff.
- Maintain accurate patient demographic, NHI, ACC, referral, location, status and discharge information within relevant patient management systems.
- Ensure patient records, labels and other required information are available to clinical teams in a timely manner.
- Handle sensitive information in accordance with privacy, confidentiality and Health New Zealand requirements.
- Follow downtime and contingency processes when systems or services are unavailable.
- Use available patient and operational information to support effective patient flow and team situational awareness.
- Communicate clearly and professionally with patients, whānau, clinicians, GPs, external agencies, staff and members of the public.
- Maintain effective working relationships across Ashburton, Christchurch and Burwood services where required.
- Contribute to quality activities, audits and service improvement initiatives.
- Identify opportunities to improve administrative processes and the patient experience.
- Apply organisational policies, procedures, protocols and agreed business processes consistently.
About you
You will be someone who enjoys working in a busy environment and can remain calm, organised and professional when priorities change.
You will bring:
- Relevant administrative or customer service experience.
- The ability to work effectively under pressure and manage competing priorities.
- Experience using computer-based administrative systems and Microsoft Office.
- Strong organisational, time management, problem-solving and attention-to-detail skills.
- A high standard of written and verbal communication.
- Knowledge of medical terminology, or the willingness and ability to develop this knowledge.
- A strong commitment to privacy, confidentiality and professional standards.
- A collaborative approach, with the ability to work effectively as part of a team.
- Self-management, accountability and a willingness to learn and grow.
It would be an advantage if you have:
- Previous health administration experience.
- Familiarity with a public hospital environment and patient management systems.
- Experience working within a 24/7 or rotating roster.
- An understanding of, and responsiveness to, people from diverse cultural backgrounds.
