About the Role

We are seeking a dedicated individual to fill the role of Administrator, based at Burwood Hospital in the Allied Health Outpatients team.

As a key member of our team, you will play a crucial role in ensuring that patients receive timely and efficient treatment while adhering to Te Whatu Ora Health NZ Waitaha Canterbury standards and Ministry of Health targets.

As part of the Administration and Clerical Pay Equity Claim settlement this role has been mapped to National Band 4/Profile 4A

Key Responsibilities:

Front of house duties

  • Undertaking front of house duties including warmly greeting patients and visitors, updating patient demographics, and ensuring confidentiality.
  • Maintaining smooth patient flow and manage time effectively to prioritize and fulfil competing demands.
  • Patient confidentiality and privacy is maintained at all times

Standardized Booking Processes: Outpatient bookings

  • Manage outpatient bookings according to Waitaha Canterbury guidelines, including handling referrals, scheduling appointments, and minimizing cancellations.
  • Referral letters and e-referral letters are managed as per our guidelines.
  • Ensure accurate coding and data entry for reporting and service planning purposes.

Effective Communication:

  • Respond promptly to inquiries from internal and external clients.
  • Maintain positive working relationships with staff and stakeholders.
  • Demonstrate excellent public relations and communication skills.

About the Team/Service/ Location

Our Administrators team supports a wide variety of allied health professions, including Physiotherapy, Occupational Therapy, Speech Language Therapy, Dietetics, Social Work, Psychology and our Ranga Hauora service.  They play a crucial role as the first point of contact for many outpatients, assisting to coordinate workflow and supporting patients to navigate the health system.

This department is based in the Physical Medicine Building on the Burwood Health Campus.

About you

Qualifications & Experience:

Essential

  • Excellent customer service skills with a people-focused approach.
  • Technically savvy with the ability to quickly learn new applications/systems.
  • Strong organizational, time management, and problem-solving skills.
  • Ability to achieve accuracy and maintain attention to detail.
  • Capacity to meet deadlines and work unsupervised.
  • Intermediate to advanced proficiency in Microsoft Office Suite.
  • High level of written and verbal communication skills.
  • Demonstrated perceptiveness and proactive approach in an administrative role.

Desirable Skills:

  • Broad administrative experience in a health-related field.
  • Knowledge of basic medical terminology.
  • Familiarity with the public hospital system, including patient administration systems.
  • Awareness of cultural diversity in patient care
