We are looking for a highly organised and empathetic Administrator to join the Female Pelvic Mesh Service. This is a rewarding opportunity to provide high-quality administrative support to women accessing the service, while working closely with surgeons, clinicians, and the wider multidisciplinary team.

Your role will be central to ensuring consumers receive a coordinated, respectful, and person-centred service throughout their journey.

As part of the Administration and Clerical Pay Equity Claim settlement this role has been mapped to National Band 5 /Profile 5 (final placement step is dependent on skills, knowledge and experience)

About the Role

Working closely with the clinical team, you will:

  • Provide a high level of customer service and support to consumers and clinical teams.
  • Coordinate inpatient and outpatient appointments, including planning, scheduling, and communicating appointment details to consumers.
  • Manage waiting lists for First Specialist Assessments (FSA) and clinic appointments in collaboration with surgeons and service staff.
  • Consider individual consumer and clinician needs when coordinating appointments to support person-centred care.
  • Respond to consumer enquiries and requests with empathy, professionalism, and discretion.
  • Provide telephone and administrative support in line with service requirements.
  • Provide administration support to the multidisciplinary team (MDT), including coordination of meetings and information.
  • Ensure patient management systems and associated clinical systems are kept accurate and up to date.
  • Work collaboratively with the administration and clinical teams to identify opportunities to improve the consumer experience and reduce barriers to accessing the service.
  • Maintain strict confidentiality when handling sensitive clinical and personal information.
  • Support other members of the administration team as required.

About You

You will be an experienced administrator who is comfortable working in a complex and sometimes challenging environment. You will understand that consumers accessing this service may have experienced difficult and sensitive health journeys and will bring empathy, compassion, and professionalism to every interaction.

You will have:

  • Previous administration experience, ideally within a healthcare environment.
  • NCEA Level 2 or equivalent, including strong literacy and numeracy skills, or relevant experience.
  • Excellent customer service and communication skills.
  • The ability to communicate with empathy, sensitivity, and compassion.
  • Experience handling confidential and sensitive information with discretion.
  • Strong organisational and time-management skills with the ability to manage competing priorities.
  • Confidence using Microsoft Word, Excel, PowerPoint, and Outlook.
  • The ability to work effectively both independently and as part of a multidisciplinary team.
  • A positive, helpful, and collaborative approach.
  • A commitment to equity and to meeting Te Tiriti o Waitangi obligations.

Desirable

  • Previous administration experience within a health or hospital setting.
  • Knowledge of medical and surgical terminology.
  • Experience using patient management systems.
  • An understanding of clinical processes and the consumer journey.
  • An understanding of the background to surgical mesh harm in New Zealand.
