About the Role

As the Administrator – Meals on Wheels, you will be responsible for maintaining accurate client records, processing referrals, updating databases, supporting account reconciliation activities, and ensuring information relating to dietary requirements is managed accurately and confidentially.

Working closely with the Quality & Production Manager and Service Manager, you will help ensure the smooth operation of the Meals on Wheels service while delivering exceptional customer service to clients, whānau, volunteers, and stakeholders.

As part of the Administration and Clerical Pay Equity Claim settlement this role has been mapped to National Band 4/Profile 4 (final placement step is dependent on skills, knowledge and experience)

Key Responsibilities

  • Maintain and update Meals on Wheels client records and databases
  • Process new client referrals and ensure information is entered accurately and promptly
  • Update driver run sheets and client information as required
  • Record and maintain dietary requirements and special meal needs
  • Assist with account recharging and end-of-month balancing processes
  • Provide professional, customer-focused support to clients and stakeholders
  • Maintain clear, accurate, and confidential records
  • Support quality improvement activities and service administration
  • Contribute to a positive, collaborative team environment

About You

To be successful in this role, you will have:

  • Previous administration experience
  • Excellent customer service skills with a genuine people focus
  • Strong attention to detail and a high level of accuracy
  • Excellent organisational and time management skills
  • Proven ability to manage competing priorities and meet deadlines
  • Experience working with databases and information systems
  • Intermediate to advanced Microsoft Office skills, particularly Word, Outlook, and Excel
  • Strong written and verbal communication skills
  • Excellent keyboard and data entry skills
  • A proactive approach and the ability to work independently
  • A collaborative, team-focused attitude

Desirable experience includes:

  • Administrative experience within a healthcare environment
  • Knowledge of or experience working within food services
  • Experience working with people from diverse cultural backgrounds
