We are seeking an organised and customer-focused Administratorto join our Older Persons Health Community Service Team. This is a key role supporting clinical staff and ensuring the smooth coordination of services that enable older people to live well in their communities.
About the Role
As an Administrator, you will provide essential administrative and secretarial support to Clinical Assessors and the wider interdisciplinary team. You will play an important role in coordinating services for clients, ensuring support plans are implemented efficiently and within required timeframes.
This is a busy and varied role where your organisational skills, attention to detail, and commitment to excellent customer service will be highly valued.
As part of the Administration and Clerical Pay Equity Claim settlement this role has been mapped to National Band 4/Profile 4

Key Responsibilities
Administrative & Secretarial Support
- Provide high-quality administrative support including typing reports and correspondence
- Maintain accurate records within the patient management system
- Manage filing, emails, photocopying, and general office tasks
- Answer telephone enquiries in a prompt, professional, and friendly manner
Service Co-ordination
- Coordinate services as identified in client support plans within required timeframes
- Support Clinical Assessors and team members with service coordination tasks
- Assist with organising and coordinating client service reviews
- Ensure all documentation and data entry is accurate and up to date
Customer Service & Communication
- Manage enquiries from clients, whānau, and service providers with a problem-solving approach
- Communicate effectively with team members and escalate enquiries when required
- Maintain confidentiality and comply with all relevant legislation relating to client information
Team Support
- Participate in rostered cover for telephone enquiries and referrals
- Contribute positively to a collaborative and supportive team environment
- Demonstrate initiative and adaptability in a fast-paced setting
About You
Essential:
- Proven experience in an administrative role within a complex organisation
- Strong computer skills, including Microsoft Word and Excel
- Excellent typing skills (60–70 words per minute) and Dictaphone transcription experience
- Strong organisational skills with the ability to prioritise and meet deadlines
- Excellent verbal and written communication skills
- Ability to work both independently and as part of a team
- Client-focused approach with a professional and positive attitude
- Commitment to understanding Te Tiriti o Waitangi and its application in Older Persons Health
- High level of confidentiality and professionalism
Desirable:
- Experience in the health sector, particularly community health services
- Familiarity with patient management systems
