Do you thrive in a fast-paced, patient-focused environment? We are looking for a dedicated Booking Coordinator to join our Central Booking Unit team. This vital role supports the Planned Care patient journey, from receipt of referral through to discharge – in accordance with Health New Zealand National Waitlist Guidelines, and Planned Care Health Targets.
About the Role:
As the Booking Coordinator, you will be the essential link between patient, clinical teams and other internal / external staffing units ensuring the planned care journey is smooth, timely, and well communicated. You’ll work closely with clinical and administration teams to coordinate waitlisting and management of outpatient and inpatient bookings, provide excellent customer service, and help improve our systems through quality initiatives.

Key Responsibilities:
- Outpatient
Department (OPD) Coordination
Ensure timely and accurate scheduling of outpatient appointments. Liaising with clinical and rostering teams; confirming patient details are UpToDate, with clear and efficient appointment notification being communicated to patients and whanau. - Inpatient
Booking Coordination
Management of inpatient waiting lists by optimising theatre schedules. Liaising with surgical teams and theatre coordinators, working towards achieving Health Target timeframes. Ensuring Patient communication and documentation is received in a timely efficient manner. Accurately entering theatre booking information into Patient Management System. - Patient Engagement
As the face and voice of the organisation, the Booking Coordinator builds strong, positive patient relationships through clear, concise, and empathetic communication.
- Patient & Whānau Centered: Demonstrates genuine compassion and active listening when interacting with patients and their families.
- Conflict Resolution: Diplomatic and skilled at de-escalating patient complaints or scheduling mishaps with tact and professionalism.
- Clear Communication: Ensures all correspondence is concise, accurate, and easy to understand.
Team Collaboration & Support
Assist and support with your fellow team members collaboratively to achieve
shared goals. Contribute to quality improvements and workflow efficiency across
the unit.
About You:
We’re seeking someone with strong attention to detail, excellent communication skills, and a calm, friendly approach under pressure. You’ll be comfortable working independently and as part of a team, with a strong commitment to protecting patient privacy at all times who is motivated to deliver service excellence. An exceptional Multitasker with strong time management skills and the ability to think on your feet. Shows initiative, has a solid administrative skillset.
Essential Criteria:
- NCEA Level 1-2 (or equivalent), with passes in English and Maths
- Strong customer service and interpersonal skills
- High level of initiative and reliability
- Ability to meet deadlines and manage competing priorities
- Strong sense of confidentiality and professionalism
- Sound Knowledge of SIPICs (South Island Patient Information Care System)
Desirable:
- Certificate in Medical Terminology
- Experience using health management systems.
- Understanding of the Treaty of Waitangi principles
- Business Administration Qualification (Level 3 or above)
- Previous experience in health sector administration (2+ years preferred)
