Are you an experienced administrator with a passion for improving patient access to healthcare and supporting high-performing teams? We are seeking motivated and collaborative Business & Administration Coordinators to join our team.

This is an exciting opportunity to play a key role in ensuring patients receive equitable and timely access to healthcare services while supporting the delivery of efficient, effective, and patient-centred administrative operations across an integrated healthcare environment.

About the Role

As the Business & Administration Coordinator, you will proactively remove barriers to care by supporting best-practice administration processes, coordinating operational activities, and guiding administration staff to achieve high standards of service delivery.

Working closely with the Business & Administration Manager, Coordinators, clinical teams, and administration staff, you will provide leadership, coaching, and specialist knowledge to ensure administrative systems and processes support quality patient care and positive patient experiences.

You will contribute to continuous improvement initiatives, support innovation and digital technologies, and use data to drive equitable and timely access to healthcare services.

As part of the Administration and Clerical Pay Equity Claim settlement this role has been mapped to National Band 6/Profile 6B.

Key Responsibilities

Administration Leadership and Coordination

  • Support, guide, and coach administration staff to achieve best-practice administrative standards.
  • Foster a positive, collaborative, and high-performing team environment.
  • Encourage professional, culturally safe, patient-centred, and customer-focused interactions.
  • Assist with workforce coordination, roster administration, and operational planning.

Patient Access and Service Delivery

  • Ensure continuity and equity in patient access through effective management of patient administration systems and processes.
  • Monitor patient access and service delivery performance to support timely healthcare provision.
  • Identify and address barriers that impact patient access and experience.
  • Promote consistent administrative practices that support organisational standards and patient outcomes.

Process Improvement and Innovation

  • Develop, implement, and maintain efficient administrative protocols aligned with Health NZ standards and best practice.
  • Support continuous improvement initiatives and service redesign activities.
  • Encourage the use of digital technologies and innovative solutions to improve efficiency and reduce administrative burden.
  • Assist in streamlining processes that enhance patient engagement and self-management opportunities.

Data, Reporting and Operational Support

  • Utilise data and information to monitor service performance and identify opportunities for improvement.
  • Support reporting requirements and contribute to operational planning activities.
  • Assist with maintaining accurate records, databases, and administrative systems.
  • Provide operational support to the Business & Administration Manager as required.

Collaboration and Relationship Management

  • Work collaboratively with Coordinators, clinical teams, and wider administration staff to align processes and share knowledge.
  • Build strong working relationships across services to support integrated healthcare delivery.
  • Contribute to problem-solving and operational decision-making processes.
  • Promote effective communication and information sharing across teams.

About You

Essential Skills and Experience

  • Demonstrated experience implementing and supporting Te Tiriti o Waitangi in practice.
  • NCEA Level 2 or 3 qualification (or equivalent).
  • Minimum three years' experience in administration, customer service, or a similar role.
  • Intermediate to advanced Microsoft Office skills, including Word, Outlook, and Excel.
  • Current restricted or full New Zealand driver's licence.
  • Excellent interpersonal and relationship-building skills.
  • Strong written and verbal communication skills.
  • High level of initiative, accountability, and self-motivation.
  • Ability to work independently, prioritise workloads, and manage competing demands.
  • Excellent organisational, time-management, and problem-solving skills.
  • Strong attention to detail and commitment to accuracy.
  • Proven ability to work effectively within a team environment.
  • Willingness to embrace new technologies, systems, and ways of working.
  • Commitment to maintaining confidentiality and exercising sound judgement.

Desirable Skills and Experience

  • Relevant tertiary or postgraduate qualification.
  • Previous experience working within the health sector.
  • Leadership, coordination, or management experience.
  • Experience using patient management systems and healthcare information systems.
  • Knowledge of quality improvement and service development methodologies.
