We are seeking an organised and customer-focused Clinical Administrator to join our team. This role is ideal for someone who enjoys working in a busy environment, has excellent attention to detail, and thrives on delivering high-quality administrative support while ensuring a positive experience for patients and staff.

Working within Te Whatu Ora | Health New Zealand Waitaha Canterbury standards and Ministry of Health targets, you will support efficient booking practices and service delivery across the department.

About the Role

As a Clinical Administrator, you will provide a wide range of administrative and coordination support services to ensure the smooth operation of the department. You will work closely with Team Leaders, Clinical Managers, Clinical Directors, triaging clinicians, and the wider team to support patient flow and administrative processes.

This is a varied role where no two days are the same, requiring strong communication skills, initiative, and the ability to manage multiple tasks efficiently.

Key Responsibilities

Daily Operations

  • Greet patients and visitors warmly and direct them appropriately
  • Maintain accurate and up-to-date patient demographic information within the patient management system
  • Ensure patient confidentiality and privacy is maintained at all times
  • Collect and manage information in line with organisational protocols and business rules
  • Escalate concerns regarding unwell or vulnerable patients to nursing staff promptly
  • Complete Front of House (FOH) tasks to a high standard as assigned on the weekly roster

Service Delivery

  • Support outsourcing and image transfer processes
  • Coordinate and support MDM (Multidisciplinary Meeting) administration
  • Manage shared email inboxes and respond to enquiries in a timely manner
  • Follow up unconfirmed appointments and manage confirmation lines
  • Complete POCUS validation tasks as required
  • Contribute to efficient patient flow and service coordination 

About You

Essential:

  • Excellent customer service skills with a patient-focused approach
  • Strong team player who is flexible, supportive, and collaborative
  • Confident using technology and quick to learn new systems and applications
  • Excellent organisational, time management, and problem-solving skills
  • High level of accuracy and attention to detail
  • Ability to work independently and meet deadlines
  • Intermediate to advanced Microsoft Office skills (Word, Outlook, Excel)
  • Excellent keyboard and data entry skills
  • Strong written and verbal communication skills
  • Demonstrated initiative and a proactive approach to administration

Desirable:

  • Previous administrative experience in a healthcare environment
  • Knowledge of medical terminology
  • Familiarity with public hospital systems and patient management systems
  • Awareness and understanding of working with people from diverse cultural backgrounds
