About the role

As a Clinical Administrator, you will be responsible for transcription duties and booking practices, working in alignment with Waitaha Canterbury standards and Ministry of Health targets.

This position is permanent part-time job working 20 hours per week working 4 days (days, start and finish times can be negotiated), however Friday is essential.

As part of the Administration and Clerical Pay Equity Claim settlement this role has been mapped to National Band 4/Profile 4A

Key Responsibilities:

  • Maintain a genuine focus on excellent customer service skills when interacting with patients, clinicians, and other stakeholders.
  • Uphold patient confidentiality and privacy at all times.
  • Execute front-of-house duties with excellent customer service skills.
  • Standardize the patient management system (SIPics) and associated clinical system processes according to Waitaha Canterbury Elective Services Guidelines.
  • Ensure all data entry is accurate and timely.
  • Follow clinic preparation and outcome procedures as required by the clinical team and National Patient Flow guidelines.
  • Complete dictated letters within set timeframes (usually 3-5 days).
  • Ensure that written work is accurate and well-presented.
  • Process and distribute all letters and outgoing correspondence within 24 hours of clinician sign-off.

Skills and experience

Essential:

  • Excellent customer service skills with a people-focused approach.
  • Technically savvy with experience in data systems and the ability to quickly learn new applications/systems.
  • Strong organizational, time management, and problem-solving skills.
  • Ability to achieve high levels of accuracy.
  • Attention to detail.
  • Ability to meet deadlines and work unsupervised.
  • Ability to manage and coordinate a range of different inputs to achieve the agreed outputs.
  • A team player.
  • Intermediate to advanced user in the Microsoft suite of products (e.g., Word, Outlook, Excel).
  • Excellent keyboard skills (50 – 70 words per minute).
  • High-level written and verbal communication skills.
  • Demonstrated perceptiveness and a proactive approach in an administrator role.

Desired:

  • Broad administrative experience in a health-related field.
  • Awareness of working with individuals from diverse cultural backgrounds.
  • Knowledge of medical terminology.
  • Familiarity with the public hospital system, including the patient management system.
