The Team: What we do

The Burwood Spinal Service is based on the Burwood Campus and provides specialised inpatient rehabilitation in ward HG/Spinal Unit and outpatient reassessment services, both locally and across the region, for people that are impacted by spinal cord impairment. 

The[i] inter-disciplinary teamwork with whānau and carers to provide a collaborative approach to ensure the communication of assessments, goal setting and the completion of patient's rehabilitation plans provide optimal care.

About the role

The Administrator function is to provide administrative assistance to the Burwood Spinal Unit.  It is a frontline role that is the first point of contact for patients and visitors to ward HG.  It is based in Ward HG/Spinal Unit and covers reception, plus supports staff across the service with SI PICS, appointments, setting up Teams meetings, data entry, generic email review, referral management and general administrative duties, as directed by the Team, Leader.  The role also covers accommodation coordinator when on leave.   

This role plays a vital part in the effective and efficient running of the services as well as assisting the team in meeting their objectives.

In this role, you will be responsible for:

  • Cover reception on ward HG   
  • Filing and photocopying as required
  • Management of documentation on HCS
  • Arriving and departing outpatient clinics using SI PICS
  • Admitting and discharging patients on SI PICS
  • Ordering taxis for patients to attend appointments at CPH as directed by staff
  • Collating data and information for benchmarking  
  • General Admin support for the ward
  • Typing and circulation of leave and call rosters as needed
  • Data entry and reporting of statistics as requested
  • Communicate and set up of family meetings meetings using a range of technologies
  • Providing cover for Accommodation Coordinator during leave

About you

Skills and experience

  • Willing to be flexible working across services as requested
  • Excellent customer service skills
  • Tech savvy and innovative– quick at picking up new applications/systems
  • Excellent organisational, time management and problem-solving skills
  • Ability to achieve accuracy and maintain attention to detail
  • Ability to meet deadlines and prioritise workload
  • Maintaining patient confidentiality and privacy
  • Work collaboratively as part of a team
  • Intermediate skills in the Microsoft suite e.g. Word, Outlook, Excel
  • A background working as an administrator in the health industry would be beneficial
