About the Role
We are looking for a Clinical Administrator to join our team at Waitaha Canterbury. This role plays a key part in ensuring efficient booking practices and supporting patient flow in line with Ministry of Health (MoH) targets and Waitaha Canterbury standards.

Administration and Clerical Pay Equity – Te Whatu Ora - Health New Zealand
Reporting to the Team Leader, Service Manager, and Clinical Director/Triaging Clinician, you will be responsible for:
- Booking and scheduling preadmission clinic appointments and elective inpatient admissions
- Coordinate operating lists and maintain the waiting list.
- Maintaining accurate and timely patient records within the Patient Management System (SI PICS)
- Providing excellent customer service to patients, clinicians, and external stakeholders
- Ensuring all bookings align with clinical priorities and MoH guidelines
Key Responsibilities
Front of House Duties:
- Greet patients and provide high-quality customer service
- Check and update patient demographics in the system
- Refer unwell or infirm patients to nursing staff immediately
Patient Management & Bookings:
- Accurately manage referrals and appointment bookings in line with MoH targets
- Prioritise bookings based on ‘greatest need, longest wait’ principle
- Ensure clear and timely communication with patients regarding bookings
- Seek clinical direction when required, especially for re-categorisation queries
Clinic Utilisation & Wait List Management:
- Maintain high clinic utilisation by effectively managing clinic templates and schedules
- Minimise cancellations by adhering to the six-week booking horizon
- Ensure surgical wait lists align with SI PICS and service requirements
- Work closely with surgeons and service managers to manage surgical lists efficiently
About you
Essential Skills & Experience:
- Excellent customer service skills – patient and people-focused
- Strong organisational, time management, and problem-solving abilities
- High levels of accuracy and attention to detail
- Ability to work independently and meet deadlines
- Proficiency in Microsoft Office (Word, Outlook, Excel)
- Strong verbal and written communication skills
- Ability to quickly learn and navigate data systems
- A team player with a proactive and perceptive approach
Desired Experience & Knowledge:
- Previous administrative experience in a healthcare setting
- Understanding of medical terminology
- Familiarity with the public hospital system and patient management systems
- Awareness of cultural diversity in a healthcare setting
- Knowledge of Waitaha Canterbury Elective Services Guidelines (Orange Book V3)
