We are seeking a detail-oriented and motivated Clinical Administrator to join our team at Waitaha Canterbury. This role plays a key part in supporting patient access to care through high-quality administration, booking, and transcription services. Your work will directly impact the patient journey by ensuring systems run smoothly and efficiently in line with Waitaha Canterbury and Ministry of Health standards.
About the role
As a Clinical Administrator, you will be responsible for transcription duties
and the booking of outpatient and inpatient services. You will work closely
with the Team Leader, Service Manager, and Clinical Director/Triaging Clinician
to ensure patients are booked accurately and treated within the appropriate
timeframes.
This position is primarily for Cardiothoracic but also as part of the cluster (Neurosurgery, Neurology, Vascular, Cardiothoracic).
As part of the Administration and Clerical Pay Equity Claim settlement this role has been mapped to National Band/Profile 4A.

Key responsibilities include:
- Providing excellent phone service to patients and visitors
- Managing patient bookings using SI PICS and ensuring timely and accurate data entry
- Supporting elective service pathways according to national and local guidelines
- Preparing and finalising clinic documentation, including transcription of dictated letters
- Coordinating surgical bookings and maintaining up-to-date wait lists
- Ensuring all correspondence is processed within set timeframes
- Working collaboratively with clinical and non-clinical staff
- Always maintaining confidentiality and respecting patient privacy
Essential skills and experience:
- Strong customer service and communication skills
- Proficiency with data systems and ability to learn new software quickly
- Excellent time management and organisation
- Strong attention to detail and high levels of accuracy
- Ability to work both independently and as part of a team
- Competence in Microsoft Word, Outlook, and Excel
- Typing speed of 50–70 words per minute
- Ability to prioritise tasks and meet deadlines under pressure
Desirable attributes:
- Previous administrative experience in a healthcare setting
- Understanding of medical terminology
- Familiarity with hospital systems, including SI PICS
- Cultural awareness and sensitivity
