  • Permanent part-time working 14 hours per week ( negotiable between 8am to 4.40pm Monday to Friday)

About the role

The Administrator, Clinical will carry out transcription duties and ensure booking practices meet Waitaha Canterbury standards and Ministry of Health (MoH) targets. This includes managing patient arrivals and departures for outpatient appointments and scheduling elective outpatient/inpatient admissions to ensure compliance with Waitaha Canterbury and MoH guidelines. This role will require you to book one clinic a week.

As part of the Administration and Clerical Pay Equity Claim settlement this role has been mapped to National Band 4/Profile 4 as it is a transcription and booking mix of duties.

Key Responsibilities:

Customer Service

  • Maintain a genuine focus on excellent customer service for patients, clinicians, and service users.
  • Safeguard patient confidentiality and privacy at all times.

Patient Management System (SI PICS)

  • Adhere to Waitaha Canterbury Elective Services Guidelines.
  • Prioritize and book patients effectively, ensuring Planned Care requirements are met.
  • Enter data accurately and communicate clear booking details to patients.
  • Seek clinical direction for re-categorization or referral queries.
  • Prepare clinics and manage outcomes in line with National Patient Flow guidelines.

  Wait List Management

  • Bookings for one clinic a week
  • Filter waitlists as per service requirements, focusing on "greatest need/longest wait."
  • Consult clinical and service management for doubts.

 Transcription Duties

  • Complete dictated letters within 3-7 days.
  • Ensure outgoing correspondence is accurate and distributed within 24 hours of clinician sign-off. 

About you

Essential Skills and Attributes:

  • Outstanding customer service skills.
  • Proficiency with data systems and the ability to learn new applications quickly.
  • Strong organizational, time management, and problem-solving skills.
  • High accuracy and attention to detail.
  • Ability to meet deadlines and work independently.
  • Proficiency in Microsoft Word, Excel, and Outlook.
  • Exceptional written and verbal communication skills.
  • Keyboard proficiency (50–70 wpm).
  • A team-oriented mindset. 

Desired Skills and Experience:

  • Administrative experience in a healthcare setting.
  • Awareness of cultural diversity.
  • Knowledge of medical terminology.
  • Familiarity with public hospital systems, including patient management systems.
