About the Role

As a Clinical Administrator, you’ll play a vital role in ensuring patients receive timely and coordinated care in line with Waitaha Canterbury and Ministry of Health (MoH) guidelines.

Working closely with the Team Leader, Service Manager, and Clinical Director, you will be responsible for:

  • Managing patient bookings and arrivals for outpatient clinics and elective inpatient admissions.
  • Ensuring adherence to national and local booking standards and guidelines (including MoH targets and Waitaha’s Elective Services Guidelines).
  • Providing front-of-house service and maintaining a welcoming, professional environment.
  • Accurately updating the Patient Management System (SI PICS) and supporting clinical workflows.

Key Responsibilities

Customer Service:

  • Deliver exceptional service to patients, clinicians, and staff.
  • Maintain patient confidentiality and privacy at all times.
  • Greet and assist patients professionally, referring unwell or infirm patients to nursing staff as needed.

Booking & Data Management:

  • Manage referrals and bookings based on clinical priority and MoH targets.
  • Ensure accuracy in all data entry and booking communication.
  • Maximise clinic utilisation and reduce cancellations by adhering to booking timelines.
  • Prepare clinics and manage outcomes in line with business rules and National Patient Flow guidelines.
  • Coordinate inpatient surgical bookings and maintain accurate, synchronised waitlists.

Communication & Teamwork:

  • Role model professional, respectful, and clear communication.
  • Support a collaborative and high-functioning team environment.
  • Maintain confidentiality and proactively engage with feedback.

About You

Essential Skills & Experience:

  • Strong focus on customer service – people-first approach
  • Confident with data systems and quick to learn new applications
  • Excellent time management, organisation, and problem-solving abilities
  • High accuracy and attention to detail
  • Ability to work independently and meet deadlines
  • Strong team player with effective communication skills
  • Intermediate to advanced MS Office skills (Word, Excel, Outlook)
  • Fast and accurate keyboard skills

Preferred:

  • Administrative experience in a health-related environment
  • Understanding of medical terminology and hospital systems
  • Cultural awareness and sensitivity
  • Familiarity with SI PICS or similar patient management systems
