About the role
We are seeking an organised, people-focused Clinical Administrator to join our team, supporting the delivery of high-quality health services to our community. This role plays a vital part in ensuring patients are booked, seen, and treated in line with Health NZ Waitaha Canterbury standards and Ministry of Health targets. This position is focussed on the scheduling of surgeries but the successful candidate may be required to fill in for leave in the other roles within the department.
Working closely with the Team Leader, Service Manager, and Clinical Director/Triaging Clinician, you will be the first point of contact for patients and clinicians, providing exceptional customer service while managing the critical administrative processes that keep our services running smoothly.

Key Responsibilities
Customer Service
- Provide professional, friendly, and efficient service to patients, clinicians, and other stakeholders.
- Always maintain patient confidentiality and privacy.
- Assist patients at the front desk, check and update demographic details, and refer unwell or infirm patients to nursing staff promptly.
Patient Management
- Manage bookings using SI PICS and associated clinical systems in line with Waitaha Canterbury Elective Services Guidelines (Orange Book V3).
- Book patients by priority, ensuring compliance with “greatest need, longest wait” and Planned Care requirements.
- Enter accurate data in a timely manner and communicate booking information clearly to patients.
- Liaise with clinical staff regarding any booking or re-categorisation queries.
Clinic & Inpatient Coordination
- Coordinate surgical list utilisation with surgeons and service managers, managing cancellations through standardised processes.
- Schedule clinics according to templates, aiming for high utilisation and minimal cancellations.
- Prepare clinics and manage outcomes in line with National Patient Flow requirements.
Wait List Management
- Maintain accurate and aligned surgical wait lists within SI PICS.
- Prioritise patients appropriately and seek clinical guidance where required.
About you
Essential Skills & Experience
- Excellent customer service skills with a people-first approach.
- Strong technical ability and confidence with data systems.
- Exceptional organisational, time management, and problem-solving skills.
- High accuracy and attention to detail, with the ability to meet deadlines and work independently.
- Proficiency in Microsoft Office (Word, Outlook, Excel) and excellent keyboard skills.
- Strong written and verbal communication skills.
- Proven ability to work as part of a team and coordinate multiple inputs to achieve results.
Desired
- Administrative experience in a health-related field.
- Understanding of medical terminology.
- Familiarity with the public hospital system and patient management systems.
- Awareness and respect for cultural diversity.
