Clinical Administrator | Christchurch Hospital

We are seeking a dedicated and flexible administrator who is highly organised and enjoys variety to join our team at Christchurch Women’s Hospital. The key purpose of this role is to support the clinicians to provide the best possible care for our patients by creating accurate and timely letters from audio recordings, supporting the patient journey through ensuring documentation present and correct, and being part of our reception team.

Key Responsibilities:
1. Customer Service
- Deliver exceptional customer service to patients, clinicians, and others accessing our services.
- Always maintain confidentiality and privacy.
2. Transcription of Patient Letters
- Use audio recordings to create letters for patients and clinicians.
- Ensuring that any enclosures are added to letters
- Ensuring any follow up actions are completed
3. Patient Management Systems & Processes
- Ensure accurate and timely data entry and booking.
- Follow MoH and Waitaha Canterbury Elective Services guidelines (Orange Book V3).
- Communicate booking details clearly with patients.
- Ensure all supporting documentation is available to both clinicians and patients as appropriate
4. Communication
- Exhibit professional and proactive communication.
- Maintain a collaborative and supportive environment for the clinical team.
About you
Essential:
- Exceptional customer service skills, with a strong people focus
- Technically savvy, with the ability to quickly learn and adapt to new systems
- Experience as an audio transcriptionist
- High level of accuracy, attention to detail, and time management.
- Strong organisational, time management, and problem-solving skills.
- Proficiency in Microsoft Office (Word, Excel, Outlook) with advanced keyboard skills.
- Ability to work both independently and collaboratively as part of a team.
Desirable:
- Experience in a healthcare administration role.
- Knowledge of medical terminology and familiarity with public hospital systems.
- Sensitivity to diverse cultural backgrounds.
