About the role

These roles complement the Planned Care work already underway in health services. They add dedicated administrative capacity to support teams and improve consistency in processes and help deliver better outcomes for patients and whānau through effective collaboration. 

As part of the Administration Pay Equity Claim settlement these roles have been mapped to National Role Profile/Band 4A

What You’ll Be Doing

  • Providing exceptional customer service to patients and whānau
  • Working in partnership with the health specialty that you have been assigned to, and contacting patients that we currently have on our waiting lists
  • Processing administrative tasks associated with proactive management of planned care waiting list activity
  • Updating patient information using patient management systems
  • Maintaining confidentiality, professionalism, and responsiveness in all communications.

About You

You’ll thrive in a fast‑paced and evolving healthcare environment where accuracy, empathy, and clear communication are essential. You’re comfortable working with patients and whānau, and you understand the importance of respectful, culturally safe interactions.

You have a solid administrative foundation, are confident using clinical and digital systems, and take pride in contributing to smooth planned care processes. You enjoy working both independently and as part of a wider team, and you remain organised and responsive while managing competing priorities.

Essential Skills & Experience

  • Demonstrated customer service and interpersonal skills, with an awareness of cultural diversity and the ability to engage positively with patients, whānau, and clinical teams
  • Strong technical confidence, with the ability to quickly learn and use new patient management administrative systems
  • Excellent time management, organisational, and problem‑solving skills, with the ability to prioritise workload effectively
  • High attention to detail and a strong commitment to accuracy and data quality
  • Ability to work independently, use initiative, and meet deadlines in a busy environment
  • Proficiency in Microsoft Office applications (Word, Outlook, Excel)
  • Excellent written and verbal communication skills
  • A team player who contributes positively to a supportive and collaborative workplace culture.

Desired Skills & Experience

  • Previous experience using SI PICS or similar patient management systems
  • An understanding of medical terminology and planned care / clinical booking processes.
