About the Role

We are seeking a highly organised and customer-focused Clinical Administrator to join the Rheumatology, Immunology team. This role plays an important part in supporting patient access to healthcare services by coordinating bookings and administrative processes in line with Health New Zealand and Ministry of Health (MoH) standards and guidelines.

Working under the guidance of the Team Leader, Service Manager and Clinical Director or Triaging Clinician, you will support the smooth flow of outpatient clinics and planned care services while ensuring patients receive timely access to care.

This role includes patient booking coordination, transcription support, clinic administration and waitlist management, while maintaining a high standard of customer service and data accuracy.

Key Responsibilities

Customer Service & Front of House

  • Deliver excellent customer service to patients, clinicians and colleagues
  • Maintain patient confidentiality and privacy at all times
  • Check and update patient demographic information within the patient management system
  • Identify and refer patients who are clearly unwell or infirm to nursing staff promptly

Patient Management & Booking Coordination

  • Schedule and manage outpatient and inpatient bookings in line with Health New Zealand and Ministry of Health guidelines
  • Ensure bookings align with planned care requirements and clinic templates
  • Maintain accurate, timely and auditable electronic data entry within SI PICS and associated systems
  • Coordinate bookings alongside pre-booking requirements including diagnostic testing and treatment planning

Wait List Management

  • Maintain SI PICS wait lists accurately and in accordance with planned care requirements
  • Monitor wait lists to align with agreed service requirements and “greatest need/longest wait” principles
  • Escalate issues to clinical or service management when required

Transcription & Administrative Support

  • Complete transcription of clinical letters within agreed timeframes (typically 3–5 days)
  • Monitor and follow up clinician sign-off requirements, including registrar double sign-off processes
  • Ensure service-specific templates and formatting standards are consistently applied
  • Provide general administrative support to contribute to efficient service delivery

You will be a proactive and detail-oriented administrator who thrives in a busy healthcare environment and enjoys supporting both patients and clinical teams.

  • Excellent organisational, time management and problem-solving skills
  • High level of accuracy and attention to detail
  • Ability to meet deadlines and work independently
  • Strong coordination and multitasking skills
  • Team-focused approach with the ability to work collaboratively
  • Intermediate to advanced Microsoft Office skills including Word, Outlook and Excel
  • Excellent keyboard skills (50–70 words per minute)
  • Strong written and verbal communication skills
  • Demonstrated initiative and a proactive approach in an administrative role

Desired Skills & Experience

  • Broad administrative experience within a healthcare environment
  • Awareness and understanding of people from diverse cultural backgrounds
  • Knowledge of medical terminology
  • Familiarity with public hospital systems and patient management systems
