Health New Zealand | Te Whatu Ora is committed to providing high-quality healthcare for all New Zealanders. We are looking for an organised and customer-focused Clinical Administrator to join our Children's Outpatients team at Christchurch Hospital.
This is a rewarding opportunity to play a key role in ensuring patients receive timely access to healthcare services through effective appointment coordination, patient administration, and waitlist management.
About the role
As a Clinical Administrator, you will provide high-quality administrative and patient booking support to clinicians, patients, and whānau. Your work will help ensure outpatient appointments, inpatient admissions, and waitlists are managed efficiently, accurately, and in line with service standards and national health targets.
No two days are the same. You'll be coordinating appointments, managing competing priorities, communicating with patients and clinical teams, and ensuring patient information remains accurate across multiple systems.
As part of the Administration and Clerical Pay Equity Claim settlement this role has been mapped to National Band 4/Profile 4 Step 1 to 3 (final placement step is dependent on skills, knowledge and experience)

Key responsibilities
- Welcome and support patients attending outpatient appointments
- Coordinate outpatient appointments, diagnostic tests, procedures, and inpatient admissions
- Maintain accurate patient records and demographic information
- Manage and monitor waitlists to support equitable access to healthcare services
- Communicate appointment information clearly and professionally to patients and whānau
- Ensure booking practices align with service guidelines, business rules, and performance targets
- Support the efficient utilisation of clinics and inpatient capacity
- Work collaboratively with clinicians, managers, and administration colleagues
- Contribute to service improvements and continuous quality initiatives
About you
You will be a highly organised administrator who enjoys working in a fast-paced environment and thrives on delivering excellent customer service.

- Excellent organisational and time-management skills
- High attention to detail and accuracy
- Strong written and verbal communication skills
- The ability to manage competing priorities and deadlines
- Confidence using data systems and learning new technologies
- Intermediate to advanced Microsoft Office skills, particularly Outlook, Word, and Excel
- Strong problem-solving and decision-making abilities
- The ability to work effectively both independently and as part of a team
Desirable experience
- Knowledge of medical terminology
- Experience working in a healthcare environment
- Familiarity with patient management systems and healthcare booking processes
- Understanding of cultural diversity and culturally safe practice
- A proactive approach with a willingness to contribute to continuous improvement
