We are seeking an organised, proactive, and customer-focused Clinical Administrator to provide vital administrative support within our busy clinical environment. This role is ideal for someone who thrives in a fast-paced setting, enjoys working collaboratively, and is committed to delivering exceptional service to patients, whānau, and healthcare professionals.

About the Role

As a Clinical Administrator, you will be responsible for coordinating patient bookings, supporting clinic operations, maintaining accurate patient information, and assisting with waitlist management. Working closely with clinical and administrative teams, you will help ensure efficient patient flow and equitable access to healthcare services.

As part of the Administration and Clerical Pay Equity Claim settlement this role has been mapped to National Band 5/Profile 5 Step 1 to 3 (final placement step is dependent on skills, knowledge and experience)

Key Responsibilities

  • Coordinate outpatient and inpatient bookings in line with Health NZ and Ministry of Health guidelines
  • Support the day-to-day administration of specialist clinics
  • Maintain accurate electronic patient records and documentation
  • Monitor and manage patient waitlists
  • Communicate effectively with patients, clinicians, and colleagues
  • Ensure administrative processes align with planned care requirements
  • Identify and escalate issues that may impact service delivery
  • Provide reception and administrative cover as required
  • Contribute positively to a collaborative team environment

About You

To be successful in this role, you will have:

Essential

  • A minimum of two years' customer service experience, preferably within healthcare or a similar environment
  • Intermediate to advanced Microsoft Office skills, including Outlook, Teams, Word and Excel
  • Excellent organisational and time-management skills
  • Strong verbal and written communication abilities
  • Proven problem-solving skills and the ability to work independently
  • Confidence using electronic systems and learning new technologies

Desirable

  • Previous healthcare administration experience
  • Familiarity with medical terminology
  • Advanced keyboard skills
  • Experience handling sensitive or confidential information
  • Experience working with diverse cultural communities
