About the role
We are seeking an experienced and motivated Clinical Administrator to join our team, providing efficient and high-quality administrative support to ensure patients receive timely access to care.
In this role, you’ll work in line with Waitaha Canterbury standards and Ministry of Health (MoH) targets for booking practices. You’ll be guided by the Charge Audiologist, Service Manager, and Triaging Clinician to manage patient flow from referral through to treatment, ensuring a smooth experience for both patients and clinicians.
As part of the Administration and Clerical Pay Equity Claim settlement this role has been mapped to National Band 4/Profile 4 Step 1 to 3 (final placement step is dependent on skills, knowledge and experience)

Your responsibilities will include:
- Managing the arrival and departure of patients attending outpatient appointments
- Coordinating elective outpatient bookings
- Ensuring bookings are completed accurately and in accordance with MoH Planned Care requirements
- Always maintaining excellent communication and confidentiality
- Providing outstanding front-of-house service and patient support
Key responsibilities
- Delivering excellent customer service to patients, clinicians, and visitors
- Maintaining and updating patient information in the Patient Management System (SI PICS)
- Managing clinic utilisation and minimising cancellations
- Supporting surgical waitlist management and alignment with service needs
- Upholding data accuracy, timeliness, and confidentiality
- Promoting a positive, professional, and collaborative team environment

Essential:
- Strong customer service focus with excellent communication skills
- High attention to detail and accuracy in data entry
- Excellent organisational and time management skills
- Ability to work autonomously and meet deadlines
- Strong computer literacy (Microsoft Office, patient management systems)
- A collaborative, team-oriented attitude
Desired:
- Administrative experience in a healthcare environment
- Understanding of medical terminology
- Familiarity with public hospital systems and booking processes
- Awareness and respect for diverse cultural backgrounds
