About the Role
We are seeking a highly organised and detail-focused Clinical Administrator /
Transcriptionist to join our team. In this role, you will provide high-quality
transcription and administrative support to clinicians, ensuring all work meets
Te Tai o Poutini West Coast standards and timeframes. You will play a vital
role in supporting clinical services through accurate documentation, effective
communication, and efficient coordination of administrative processes.
As part of the Administration and Clerical Pay Equity Claim settlement this role has been mapped to National Band 4/Profile 4

Key Responsibilities
- Complete transcription tasks from dictation through to distribution of authorised clinical correspondence
- Prioritise workload based on “greatest need, longest wait” principles
- Ensure all written documentation is accurate, well-presented, and completed within required timeframes
- Respond promptly and professionally to enquiries from staff, clinicians, external agencies, GPs, patients, and the public
- Handle telephone and reception enquiries courteously and efficiently
- Provide day-to-day administrative support for medical staff and colleagues as needed
- Maintain organised, efficient workflows and documentation systems
About you
Essential Requirements
- Excellent customer service skills with a strong people-focused approach
- High level of accuracy and meticulous attention to detail
- Strong organisational, time management, and problem-solving skills
- Ability to meet deadlines and work independently
- Technically proficient with the ability to quickly learn new systems
- Intermediate to advanced skills in Microsoft Office (Word, Outlook, etc.)
- Excellent keyboard skills (50–70 wpm)
- Strong grammar and written communication skills
- Effective verbal communication skills
- Team-oriented with the ability to coordinate multiple tasks efficiently
Desirable Skills & Experience
- Experience using dictation software for transcription of clinical or formal documents
- Previous administrative experience in a healthcare setting
- Familiarity with medical terminology or an interest in health/biology
- Understanding of public hospital systems and patient management systems
- Cultural awareness and sensitivity to diverse populations
- Flexibility to work additional hours when required
