Clinical Administrator - Hillmorton Campus

About the Role
We have an exciting opportunity for a skilled and motivated Clinical Administrator join our Waitaha Canterbury team. In this role, you’ll play an essential part in supporting our patients and clinical teams by delivering high-quality administrative and transcription services that align with Waitaha Canterbury standards and Ministry of Health (MoH) targets.
Working closely with the whole team, you’ll help ensure that patients receive the right care, at the right time, through efficient booking, scheduling, and communication processes.

Key Responsibilities
Patient Coordination and Bookings
- Manage the booking of elective outpatient and inpatient admissions according to Waitaha Canterbury and MoH guidelines.
- Ensure accurate and timely data entry into the Patient Management System (SAP) and associated clinical systems.
- Coordinate patient appointments, balancing both patient and clinician needs to support a patient-centred experience.
Customer Service and Front of House Support
- Provide a warm, professional, and efficient front-of-house service for patients, clinicians, and visitors.
- Maintain confidentiality and privacy at all times.
- Update patient demographics and refer unwell or infirm patients to nursing staff as needed.
Transcription Duties
- Complete dictated letters within required timeframes (typically 3–5 days).
- Ensure all written correspondence is accurate, professionally presented, and distributed within 24 hours of sign-off.
Administrative Excellence
- Apply the Waitaha Canterbury Elective Services Guidelines (Orange Book V3) to manage referrals and bookings appropriately.
- Support the clinical team with timely and clear communication and seek direction where required.
- Contribute to the effective management of surgical and outpatient wait lists, ensuring alignment with “greatest need, longest wait” principles.
- Working closely with DAMHS with finalising MHA papers and reports.
- Keeping the ward working efficiently by logging faults with respective parties (maintenance/cleaners).
- Generally helping on the ward as required by the nurses i.e. programming of wristbands, CSU drop offs, Oracle orders, sharpening of equipment etc.

Essential Skills & Experience
- Proven customer service excellence with a strong people focus.
- Technically confident – quick to learn new systems and applications.
- High level of accuracy, attention to detail, and strong time management.
- Ability to work independently and meet deadlines under pressure.
- Strong written and verbal communication skills.
- Intermediate to advanced proficiency in Microsoft Office (Word, Outlook, Excel).
- Excellent keyboard skills (50–70 wpm) and transcription accuracy.
- A proactive, team-oriented approach to supporting clinical and administrative goals.
Desired Attributes
- Previous administrative experience in a healthcare environment.
- Familiarity with medical terminology and the public hospital system.
- Cultural awareness and sensitivity to diverse backgrounds.
