About the role

We are seeking a highly organised and professional Clinical Administrator to provide secretarial, reception, and administrative support to our Specialist Mental Health Services team.

This role is integral to supporting clinicians and ensuring high-quality service delivery to tāngata whaiora and whānau.

Key Responsibilities:

Administrative & Secretarial Support

  • Provide confidential secretarial support to your assigned team using Winscribe and other tools.
  • Accurately complete required templates and Healthlinks documentation in line with policy.
  • Draft and compose correspondence as requested.
  • Maintain patient files, meeting minutes, and an efficient filing system.
  • Process mail and liaise with external agencies, suppliers, and contractors.

Reception & Communication

  • Greet all visitors with warmth and professionalism.
  • Manage telephone enquiries with courtesy and ensure messages and communication are relayed promptly and accurately.
  • Maintain confidentiality and professionalism at all times when dealing with sensitive matters.

Team Support & Coordination

  • Manage team and clinician diaries; ensure relevant materials are prepared for appointments.
  • Support clinicians with workload prioritisation and time management.
  • Maintain up-to-date knowledge of systems and technology used in the service.

Service Contribution

  • Contribute to a positive team environment and support the delivery of a high-quality service.
  • Communicate clearly and effectively with clinicians, consumers, and the public.
  • Demonstrate flexibility and the ability to work under pressure during peak periods.

About you

What We’re Looking For:

Essential:

  • Proven receptionist/telephonist and administrative experience.
  • Advanced word processing skills with a minimum typing speed of 60+ wpm.
  • Strong multi-tasking, prioritisation, and time management abilities.
  • Excellent attention to detail and accuracy.
  • A calm and professional manner when handling sensitive or challenging situations.
  • Current NZ driver’s licence.
  • Commitment to confidentiality and respectful teamwork.

Desirable:

  • Previous experience in a mental health or healthcare setting.
  • Knowledge of medical terminology.
  • Strong interpersonal and written communication skills.
