About the Role:

As a Clinical Administrator, you will work in alignment with Waitaha Canterbury standards and Ministry of Health (MoH) targets to manage outpatient clinic appointments and elective admissions. Reporting to the Team Leader, Service Manager, and Clinical Director/Triaging Clinician, you will play a critical role in ensuring timely and effective patient care.

Key Responsibilities:

Customer Service

  • Deliver outstanding customer service to patients, clinicians, and all service users.
  • Maintain strict patient confidentiality and privacy.
  • Manage front-of-house duties with professionalism and efficiency.
  • Identify and refer unwell or infirm patients to nursing staff immediately.

Patient Management System & Booking Processes

  • Adhere to Waitaha Canterbury Elective Services Guidelines (Orange Book V3).
  • Process referrals and booking requests following priority guidelines (‘greatest need, longest wait’ principle).
  • Ensure all data entry is accurate and completed in a timely manner.
  • Clearly communicate booking information with patients.

Clinic Utilisation & Inpatient Bookings

  • Schedule appointments as per clinic templates, maintaining high clinic utilisation.
  • Minimise cancellations and ensure efficient clinic preparation.
  • Manage inpatient surgical lists in collaboration with surgeons and service managers.
  • Follow standardised processes to handle cancellations effectively.

Wait List Management

  • Ensure surgical wait lists align with SI PICS wait lists.
  • Filter wait lists based on service requirements, prioritising patients with the greatest need and longest wait.

Communication & Team Collaboration

  • Maintain a positive and professional approach in all interactions.
  • Ensure clear, accurate, and responsible communication.
  • Uphold confidentiality and seek proactive feedback. 

About you

Essential Skills & Qualifications:

  • Strong customer service skills with a people-focused approach.
  • Proficiency in data systems and the ability to quickly learn new applications.
  • Excellent organisational, time management, and problem-solving skills.
  • High level of accuracy and attention to detail.
  • Ability to meet deadlines and work independently.
  • Strong coordination skills to manage multiple inputs and achieve results.
  • A collaborative team player.
  • Intermediate to advanced skills in Microsoft Office Suite (Word, Outlook, Excel).
  • Fast and accurate keyboard skills.
  • Excellent written and verbal communication abilities.
  • Perceptiveness and a proactive mindset in an administrative role.

Desired Skills & Experience:

  • Previous administrative experience in a healthcare setting.
  • Cultural awareness and sensitivity to diverse patient needs.
  • Knowledge of medical terminology.
  • Familiarity with public hospital systems and patient management software.
