Clinical Administrator | Hillmorton Hospital

About the Role:
As a Clinical Administrator, you will provide essential secretarial, administrative, and reception services to ensure the smooth operation of SIEDS. You will work closely with the clinical manager to facilitate efficient service delivery while supporting consumers, families, and clinicians.
As part of the Administration and Clerical Pay Equity Claim settlement this role has been mapped to National Band 4/Profile 4

Key Responsibilities:
Reception and Consumer Services:
- Greet and welcome consumers and families, advise clinicians of their arrival.
- Provide consumers with relevant questionnaires/forms prior to appointments.
- Induct and orientate consumers and their families to the service and facility.
- Offer advice and directions for other services within the building as needed.
Administrative and Secretarial Support:
- Process referrals and prepare for intake meetings.
- Request and manage files/information from other service providers.
- Schedule appointments and manage the waiting list.
- Audio and copy type letters, reports, and meeting minutes.
- Maintain and update service statistics using Microsoft Access and other systems.
- Prepare and send letters to referrers, clients, and families.
- Organise and co-ordinate group sessions, family education seminars, and clinical travel arrangements.
- Compile clinical review reports and assist with MDT caseload summaries.
- Work with district services throughout the South Island to co-ordinate district visits and telemedecine
Data Entry and Compliance:
- Ensure data is entered accurately and in a timely manner into electronic systems such as Access, SAP, and Oracle.
- Monitor and maintain compliance with Health and Safety legislation, policies, and procedures.
Other Key Duties:
- Maintain rosters for duty and meetings.
- Prepare monthly prescriptions for dietary supplements.
- Assist in managing consumer and clinician scheduling to ensure accurate statistics and reporting.
About you
Essential Skills & Experience:
- Proficient typing and audio-typing skills.
- Strong reception and office management skills.
- Excellent organisational and time-management skills.
- Proven ability to manage people and processes effectively.
- Ability to use Microsoft Office Suite (Access, Publisher, Excel, PowerPoint).
Desirable Skills & Experience:
- Familiarity with Healthlinks and electronic healthcare systems.
- Experience using SAP and Oracle systems.
- Previous experience in a healthcare administration environment.
