Are you an experienced health information or clinical records professional with strong leadership skills? We are seeking a Clinical Records Manager to provide operational leadership across our clinical records services and ensure health information is managed safely, accurately, and efficiently.

This is a key leadership role supporting the Health Information Manager and overseeing day-to-day clinical records operations across inpatient, outpatient, and offsite/archival services.

About the Role

As the Clinical Records Manager, you will lead the Team Leaders and provide oversight of clinical records functions across the organisation. You will ensure consistent standards, effective workflows, high-quality service delivery, and compliance with privacy, security, retention, and health information requirements.

You will work closely with clinical and operational teams to improve documentation and data quality, support digital transformation, and identify opportunities to make clinical records processes more efficient and effective.

Key Responsibilities

  • Provide day-to-day operational leadership and oversight of clinical records services.
  • Lead, coach, and support the Team Leaders to deliver consistent, high-quality services.
  • Oversee the management, availability, security, and integrity of physical and electronic clinical records.
  • Monitor service performance, turnaround times, quality indicators, and workflow efficiency.
  • Ensure clinical records are available in a timely manner for patient care, audits, reporting, and legal requirements.
  • Manage operational issues and escalate risks appropriately.
  • Support recruitment, workforce planning, onboarding, performance management, and staff development.
  • Ensure clinical records processes comply with privacy legislation, health information standards, retention requirements, and organisational policies.
  • Coordinate audits, quality checks, and corrective actions.
  • Work with clinical teams to improve documentation, data accuracy, and record-keeping practices.
  • Lead continuous improvement initiatives across clinical records services.
  • Support scanning, electronic records, digital transformation, and service redesign projects.
  • Work collaboratively with the Health Information Manager and wider teams to deliver strategic priorities.

About You

You will be an experienced and confident leader who can balance operational demands with a strong focus on quality, compliance, and service improvement. You will enjoy developing people, solving problems, and working collaboratively with a wide range of stakeholders.

Essential

  • Significant experience in clinical records, health information management, or a related field.
  • Proven leadership experience within a health or information management environment.
  • Experience managing teams and leading change and improvement initiatives.
  • Strong understanding of privacy legislation, health information standards, and records management requirements.
  • Excellent organisational, communication, and problem-solving skills.
  • Ability to manage competing priorities and work effectively in a complex environment.
  • Strong commitment to confidentiality, accuracy, and information security.
  • Demonstrated ability to build effective relationships with clinical and operational stakeholders.

Desirable

  • Relevant tertiary qualification in Health Information Management, Health Administration, Records Management, or equivalent experience.
  • Eligibility for membership of a recognised health information or records management professional body.
  • Experience with electronic health records, scanning, data quality, or digital transformation initiatives.
