Ensure accuracy, integrity, and alignment across payroll and workforce structures

We are seeking a detail-oriented and experienced Organisational Structure Specialist to join our team. This role is critical in maintaining the integrity of organisational structures within the payroll system, ensuring all position changes are accurate, approved, and aligned with reporting lines, financial frameworks, and workforce planning. 

About the Role

As the Organisational Structure Specialist, you will be responsible for managing and maintaining position structures within the payroll system. You will ensure that all additions, changes, and removals of positions are appropriately approved and accurately reflected in workflows, reporting lines, and financial data.

You will work closely with HR Business Partners, rostering teams, and key stakeholders to support organisational change, ensure data accuracy, and enable effective workforce planning. 

Key Responsibilities

Position & Structure Management

  • Maintain accurate organisational structures within the payroll system
  • Ensure all approvals are in place prior to adding, changing, or removing positions
  • Update FTE and salary band information annually to reflect current values
  • Monitor and audit data regularly to ensure integrity and accuracy

Stakeholder Engagement & Support

  • Partner with HR Business Partners during restructures and organisational changes
  • Collaborate with rostering teams to ensure alignment across systems
  • Manage stakeholder expectations and provide clear guidance on processes

Continuous Improvement & Systems

  • Identify opportunities to improve processes, systems, and data management
  • Support implementation of system updates and large-scale changes
  • Maintain knowledge of best practice and contribute to an agile, improvement-focused culture

Quality, Risk & Compliance

  • Ensure compliance with organisational policies, financial delegations, and regulatory requirements
  • Support accurate reporting, risk identification, and mitigation
  • Contribute to a safe and healthy workplace by supporting Health & Safety practices

Equity & Culture

  • Demonstrate commitment to Te Tiriti o Waitangi and equitable outcomes for Māori
  • Support Māori and Pacific aspirations in workforce planning and delivery
  • Promote an inclusive, collaborative, and respectful team environment 

About You

Essential:

  • 3–5 years’ experience in senior administration or position management within a payroll system
  • Experience working in complex organisational environments
  • Strong stakeholder management skills and ability to set clear expectations
  • Proven experience implementing change within payroll or workforce systems
  • High attention to detail and strong data accuracy focus

Desirable:

  • Relevant tertiary qualification (graduate or postgraduate)
  • Experience uploading and managing bulk data within position management systems
  • Experience in continuous improvement initiatives
