Are you an experienced Personal Assistant  who thrives in a busy, complex environment and enjoys supporting senior leaders to achieve their goals?

We are looking for a highly organised and proactive Personal Assistant to provide high-level executive and administrative support to the General Manager and Director of Allied Health.

This is a key role within Older Persons Health & Rehabilitation and the wider Hospital and Specialist Services portfolio, supporting leadership across Older Persons Health, Rehabilitation Services, Allied Health, Community Services and associated clinical programmes.

About the role

As Personal Assistant, you will provide trusted and proactive support to two senior leaders, ensuring they are well organised, informed and able to focus on strategic and operational priorities.

Your responsibilities will include:

  • Managing complex calendars, correspondence, rosters, travel arrangements and meeting requirements
  • Coordinating governance and operational meetings, including agendas, papers, minutes and action tracking
  • Providing dedicated support to the Director of Allied Health, including coordination of forums, governance meetings and workforce initiatives
  • Preparing reports, presentations, briefing documents and other executive information
  • Maintaining accurate document and information management systems
  • Managing sensitive and confidential information with discretion and professionalism
  • Acting as a key liaison point between senior leaders and a wide range of internal and external stakeholders
  • Supporting recruitment, onboarding, workshops, planning events and other leadership initiatives
  • Identifying opportunities to improve administrative processes and ways of working

About you

You will be an experienced senior administrator or Personal Assistant who is confident working with senior leaders and managing competing priorities in a complex environment.

You will bring:

  • Proven experience in a Personal Assistant or senior administrative support role
  • Experience supporting senior leaders and managing confidential and sensitive information
  • Excellent organisation, planning and time-management skills
  • Advanced Microsoft Office skills, including Outlook, Word and Excel, with confidence using AI tools to improve efficiency and productivity
  • Excellent written and verbal communication skills
  • Strong relationship management and interpersonal skills
  • The ability to anticipate needs, use initiative and work proactively
  • Strong attention to detail and the ability to manage multiple priorities and deadlines
  • A professional, calm and solutions-focused approach

It would be an advantage if you have

  • Experience working within Health New Zealand or the wider health sector
  • Knowledge of rehabilitation, community, older persons health or Allied Health services
  • Experience supporting governance processes, senior leadership forums or complex meetings
