We are seeking a highly organised and proactive Personal Assistant to provide executive support to the General Manager of Surgical, Perioperative & Radiology Services based at Christchurch Hospital.

About the Role
As the Personal Assistant, you will play a critical role in supporting the General Manager to achieve strategic and operational objectives. You will act as the central point of coordination for communications, information management, and administrative activities while fostering effective relationships across the organisation.
Your success will be measured by your ability to proactively manage competing demands, anticipate upcoming priorities, and ensure the General Manager can focus on leading and delivering outcomes.
Key Responsibilities
- Manage and triage communications on behalf of the General Manager
- Coordinate and maintain complex calendars, schedules, and future planning activities
- Research, investigate, analyse, and action issues as required
- Facilitate effective communication both to and from the General Manager's office
- Develop and maintain information management, filing, and retrieval systems
- Support meetings, seminars, board meetings, alliance groups, and other events
- Prepare agendas, minutes, reports, and correspondence
- Build strong relationships across teams to support collaborative outcomes
- Identify opportunities to leverage technology and improve administrative processes
About You
You are a highly capable and adaptable professional who enjoys working at a senior level and can confidently manage confidential and sensitive information.
Essential Skills and Experience
- Proven experience as a Personal Assistant supporting a senior leader or executive
- Advanced Microsoft Outlook and Word skills
- Intermediate Excel and PowerPoint capability
- Exceptional organisational and time management skills
- Strong customer service and relationship management abilities
- Experienced minute taker with excellent attention to detail
- Ability to accurately transcribe digital dictation
- Technologically savvy with confidence learning new systems and tools
- Strong written and verbal communication skills
- Ability to manage multiple priorities while maintaining accuracy and professionalism
Desirable
- Previous experience within the health sector
- Qualification in Business Administration or a related discipline
- Experience using project management software
- Shorthand skills
- Experience with Visio, rostering systems, and travel booking platforms
