Are you an organised and detail-focused coordinator with a passion for supporting complex projects? We are looking for a Programme Coordinator – Furniture, Fixtures and Equipment (FF&E) to join our Infrastructure and Investment Group team and play a key role in delivering high-quality health facility projects.

About the role

The Programme Coordinator – FF&E is responsible for assisting Project Managers in procuring and coordinating the delivery of furniture, fixtures and equipment across multiple concurrent projects. This role ensures the timely, cost-efficient and accurate management of procurement processes, supplier engagement, and record keeping.

You will work closely with internal and external stakeholders, suppliers and contractors to ensure goods are sourced, tracked, and delivered on schedule. From raising purchase orders and reconciling invoices, to maintaining asset databases and coordinating deliveries, you will be the go-to person for all FF&E-related project coordination.

Key responsibilities

  • Support Project/Programme Managers in the planning and management of FF&E resources.
  • Obtain quotes, prepare requisitions, raise purchase orders and track procurement decisions.
  • Maintain accurate records, spreadsheets and databases to support budget reporting and asset management.
  • Coordinate deliveries to sites and warehouses, acting as first point of contact for suppliers.
  • Ensure timely processing and monitoring of vendor payments.
  • Liaise with internal teams, consultants, subcontractors and suppliers to support project outcomes.
  • Undertake other duties as required in support of the programme.

About you

You will be a proactive and detail-oriented professional, with excellent organisational and communication skills. You enjoy managing multiple priorities and take pride in keeping things running smoothly in a fast-paced environment.

Essential

  • NCEA Level 3 qualification or relevant project coordination experience within the construction industry.
  • Experience supporting multiple projects and stakeholders simultaneously.
  • Knowledge of Government Rules of Procurement.
  • Strong financial acumen and numerical skills.
  • Knowledge of project management methodologies.
  • Exceptional written, verbal and presentation skills.
  • Experience processing and monitoring vendor payments.
  • Advanced MS Office skills, particularly Word, Excel and PowerPoint.

Desired

  • Understanding of FF&E requirements in a health setting.
  • Experience working in a public sector environment.
  • Project Management training/qualifications.
