Receptionist/Administrator | Hillmorton Health Campus

Are you a highly organised, professional, and friendly administrator who enjoys making a positive difference in a healthcare setting? We are seeking an experienced and motivated Receptionist/Administrator to join our dedicated team at the Child, Adolescent and Family (CAF) Mental Health Service.
About the Role
In this vital role, you will provide high-quality secretarial, reception, and administrative support to the Clinical Manager and wider CAF team. You’ll be the first point of contact for many clients and stakeholders and play a key role in ensuring the smooth running of the service.
As part of the Administration and Clerical Pay Equity Claim settlement this role has been mapped to National Band 4/Profile 4A

Key Responsibilities
- Deliver confidential secretarial support, including audio and copy typing, preparing correspondence, and compiling reports.
- Maintain effective filing systems and manage stationery and mail.
- Accurately record and distribute minutes, maintain templates and Healthlink documents per policy.
- Coordinate team and clinician appointments, manage diaries, and ensure materials are available for appointments.
- Provide professional front-line reception and telephone support with a warm and courteous manner.
- Communicate effectively with clinicians, consumers, whānau, and external providers.
- Support quality service delivery by maintaining patient management systems, supporting audits, and identifying opportunities for improvement.
- Assist with onboarding of new staff, statistics collection, administrative support for IT systems, and compliance prompts for clinicians.
About you
- A relevant secretarial or administrative qualification (e.g., TCB Stage I or NZ Certificate Stage I) and/or 5+ years of experience in a receptionist/secretarial role.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Publisher, Access).
- Excellent word processing skills (minimum 70 w.p.m.) with high accuracy.
- Proven ability to manage a busy workload with minimal supervision and high attention to detail.
- Strong interpersonal skills, with the ability to work effectively with people of all ages and backgrounds.
- A current full driver’s licence.
