About the Role
We are seeking a highly organised and personable Administrator/Receptionist to
join our Hospital Dental Service team. This role is essential in ensuring the
smooth day-to-day operation of our service, providing high-quality
administrative and front-of-house support to dentists, specialists,
technicians, and patients.
You will play a key role in delivering a welcoming, efficient, and patient-centred experience while supporting a collaborative and professional team environment.
As part of the Administration and Clerical Pay Equity Claim settlement this role has been mapped to National Band 2/Profile 2A

Key Responsibilities
Reception Duties
- Provide a warm and professional front-of-house experience for patients and visitors
- Manage patient bookings and ensure accurate demographic information in the patient management system
- Handle telephone and electronic enquiries, directing them appropriately
- Arrange interpreter services as required
- Process patient payments accurately and reconcile daily banking
- Book patients into relief of pain clinics in line with eligibility criteria
- Maintain a high standard of professionalism at all times
- Undertake additional duties as required by the line manager
Administration Duties
- Receive and accurately process referrals
- Prepare and distribute referral acknowledgement correspondence
- Provide administrative support across the service as workload requires
- Contribute positively to the vision and goals of the Hospital Dental Service and wider health system
- Maintain high standards of accuracy, quality, and compliance with organisational policies and procedures
About You
Essential Skills & Experience
- Exceptional customer service skills with a strong patient focus
- Confident with technology and quick to learn new systems
- Strong organisational, time management, and problem-solving abilities
- High level of accuracy and attention to detail
- Ability to work independently and meet deadlines
- A collaborative team player
- Intermediate to advanced skills in Microsoft Office (Word, Outlook, Excel)
- Excellent keyboard and data entry skills
- Strong written and verbal communication skills
- Proactive, perceptive, and solutions-focused approach
Desirable
- Previous administrative experience in a healthcare setting
- Knowledge of medical or dental terminology
- Familiarity with public hospital systems and patient management systems
- Understanding and respect for diverse cultural backgrounds
