About the Role

We are seeking a highly accurate and detail-focused Transcriptionist to join our team. This role is responsible for delivering high-quality transcription services in line with Waitaha Canterbury standards, supporting clinicians and service delivery across the organisation.

Working under the guidance of service leaders, managers, and clinical staff, you will ensure timely and accurate transcription of clinical dictation, along with providing administrative support including appointment booking to meet Health New Zealand and Ministry of Health targets.

Key Responsibilities

Transcription Services

  • Transcribe clinical dictation accurately from start to final authorised correspondence
  • Ensure all dictated letters are completed within required timeframes (typically 3–5 working days)
  • Process and distribute all correspondence within one working day of clinician sign-off
  • Maintain a high level of accuracy, presentation, and attention to detail in all written work
  • Manage workload based on “greatest need, longest wait” priorities 

Administrative Support

  • Accurately enter patient information into patient management systems
  • Assist with appointment booking to ensure patients are treated within required timeframes
  • Respond promptly to enquiries from staff, external agencies, GPs, and patients
  • Support effective coordination across services and sites 

Communication & Teamwork

  • Maintain effective working relationships with internal and external stakeholders
  • Demonstrate strong communication and customer service skills at all times
  • Contribute positively to a collaborative and supportive team environment

  • Maintaining concentration and accuracy over extended periods
  • Meeting daily and weekly workload deadlines
  • Ensuring high-quality output in a fast-paced environment 

About You

Essential Skills & Experience

  • Excellent customer service skills with a people-focused approach
  • Strong keyboard skills (typing speed of 50–70 wpm)
  • High level of written and verbal communication skills
  • Intermediate proficiency in Microsoft Office (Word, Outlook)
  • High level of accuracy and attention to detail
  • Technically confident and able to learn new systems quickly
  • Strong organisational, time management, and problem-solving skills
  • Ability to meet deadlines and work independently
  • A collaborative team player 

Desirable

  • Knowledge of medical terminology
  • Previous administrative experience in a healthcare environment
  • Familiarity with public hospital systems and patient management systems
  • Awareness and understanding of diverse cultural backgrounds
