Transcriptionist | Oncology

Are you highly detail-oriented with a knack for accuracy and focus?
Join our Waitaha Canterbury team as a dedicated Transcriptionist, where over 90% of your role will involve transcribing documents to meet the highest Canterbury standards. You’ll work closely with service leaders, managers, nursing staff and clinicians to produce timely and accurate patient correspondence, all while ensuring effective communication with both internal and external stakeholders.
This position is permanent full-time working 40 hours per week.
As part of the Administration and Clerical Pay Equity Claim settlement this role has been mapped to National Band 3/Profile 3B

Key Responsibilities:
- Transcription Duties:
- Complete transcription processes from dictation to the distribution of signed letters according to “greatest need, longest wait” prioritization.
- Ensure dictated letters are completed within 3-5 working days.
- Verify that all written work is accurate, professionally presented, and distributed within one workday of clinician sign-off.
- Maintain a high level of transcription accuracy, especially under multiple sensory demands.
- Promptly respond to inquiries from District staff, external agencies, general practitioners, and the public, ensuring all data entry is timely and precise.
- Collaboration & Communication:
- Foster strong relationships with team members across Waitaha Canterbury, ensuring smooth coordination of transcription services.
- Maintain excellent public relations skills, ensuring clear and courteous communication at all times.
- Additional Duties:
- Assist with additional projects and duties as assigned by the Administration Manager or service team leaders.
- Support the overall service provision and adapt to workload requirements.

- Excellent customer service and people-focused approach.
- Proficient typing speed of 50-70 wpm with strong keyboarding skills.
- Exceptional written and verbal communication abilities.
- Intermediate proficiency with Microsoft Word and Outlook.
- High commitment to accuracy and detail, with robust organizational and time management skills.
- Technically savvy, with the ability to quickly learn new applications and systems.
- Self-motivated, able to meet deadlines, and work effectively unsupervised.
- Collaborative team player.
Desired Skills and Experience:
- Knowledge of medical terminology.
- Broad administrative experience, ideally within a health-related field.
- Familiarity with the public hospital system and patient management systems.
- Awareness and sensitivity toward people of diverse cultural backgrounds.
