We are looking for an organised, approachable and customer-focused Ward Clerk to join our team and provide high-quality clerical, reception and administrative support within the ward environment.
As a Ward Clerk, you will play an important role in ensuring the smooth day-to-day operation of the ward. You will be a key point of contact for patients, whānau, visitors and members of the multidisciplinary team, helping to ensure information is accurate, communication is effective and administrative processes are completed efficiently.
This is a varied role where your organisational skills, attention to detail and ability to manage competing priorities will be highly valued.
What you'll be doing
Your responsibilities will include:
- Providing comprehensive clerical and administrative support to the ward
- Welcoming and assisting patients, whānau and visitors and responding to enquiries professionally
- Maintaining accurate and up-to-date patient records and ward documentation
- Processing patient admissions, transfers, discharges and deaths
- Entering and maintaining patient and staffing information in electronic systems
- Processing correspondence and arranging appointments and other administrative requirements
- Supporting effective communication between patients, whānau and the multidisciplinary team
- Completing data entry, reports and other administrative tasks accurately and within required timeframes
- Maintaining confidentiality and the security of patient information
- Identifying and following up missing or incomplete documentation
- Reporting hazards, incidents, risks and system issues appropriately
- Contributing to quality improvement initiatives and improvements to ward administrative processes
Supporting Mental Health Act administration
The Ward Clerk will also provide administrative support for patients subject to the Mental Health (Compulsory Assessment and Treatment) Act 1992.
This includes maintaining accurate filing, tracking and distribution of Mental Health Act documentation and supporting administrative processes relating to legal status, leave, transfers and hearings.
You will work closely with the clinical team and relevant services to ensure documentation is complete and requirements are followed, escalating any missing, incomplete or overdue information to the appropriate clinical staff.
As part of the Administration and Clerical Pay Equity Claim settlement this role has been mapped to National Band 3/Profile 3

What you'll bring
We are looking for someone who is:
- Experienced in ward processing and patient administration
- Experienced in reception and office administration
- Confident and capable using computer systems and electronic records
- Highly organised, with excellent attention to detail
- Able to prioritise competing demands and manage multiple tasks
- A strong communicator with excellent written and verbal communication skills
- Comfortable working collaboratively as part of a multidisciplinary team
- Professional, approachable and committed to providing a positive experience for patients and whānau
- Able to communicate sensitively and appropriately with people who may be experiencing mental illness, cognitive impairment, distress or behavioural disturbance
- Flexible and able to respond positively to changing service needs
It would be an advantage if you have
- Previous experience working within the health sector
- Knowledge of Health NZ patient administration systems
- Experience using electronic patient management systems
- An understanding of Mental Health Act administrative processes
