Ward Clerk | Christchurch Hospital
- Christchurch – Christchurch Health Campus - Children's, Surgical, and Acute Medical Services – Ward 17
- Permanent part-time position working 20 hours per week ( Afternoons 4pm to 8pm Monday to Friday)

We are seeking a highly organised and customer-focused Ward Clerk to provide essential clerical and administrative support to our interdisciplinary ward team. This is a key role that helps ensure the smooth day-to-day operation of the ward while supporting high-quality patient care.
About the Role
As a Ward Clerk, you will manage the clerical and administrative functions of the ward, acting as a central point of communication for staff, patients, and whānau. You will play an important role in maintaining accurate patient information, coordinating documentation, and supporting the team to deliver efficient and effective care.
As part of the Administration and Clerical Pay Equity Claim settlement this role has been mapped to National Band 3/Profile 3

Key Responsibilities
Clerical & Administrative Support
- Maintain accurate and up-to-date patient files and documentation
- Manage incoming and outgoing correspondence, ensuring it is actioned appropriately
- Arrange appointments and respond to information requests within agreed timeframes
- Ensure all ward documentation standards are met
Reception & Communication
- Provide a professional and welcoming reception service at ward level
- Handle telephone and in-person enquiries in a friendly and efficient manner
- Act as a central communication link for ward information
- Maintain clear, professional written and verbal communication
Patient Administration
- Accurately process admissions, discharges, and transfers, including required documentation
- Ensure all patient records are stored securely and meet medical records standards
Data & Systems Management
- Enter and maintain patient and staffing information in relevant systems
- Ensure data accuracy and timely updates
- Complete routine typing tasks with a high level of accuracy
- Liaise with IT/help desk regarding system issues
About You
Essential:
- Previous experience in administration, reception, or office support
- Strong computer skills, including word processing and data entry
- Excellent written and verbal communication skills
- Highly organised with the ability to manage multiple tasks
- Ability to work effectively as part of a team
- Adaptable and able to work in a fast-paced environment
Desirable:
- Previous experience within a healthcare setting
- Familiarity with patient management systems
